Job Description

Position:                     Office Manager

Type:                          Full Time - Exempt

Reports to:                 Executive Director

Salary Range:           $28,000 - $40,000

Purpose of this Position:  To provide the necessary operational support to the Executive Director.

Duties and Responsibilities:

·         Responsible to organize and carry out the financial duties of billing, receipts and banking.

·         Working with the Executive Director in contract administration

·         Working as team support for the SSGC employees and contractors

·         Work collaboratively with the grant writer on staff and those who have partnered with GRANTS Inc and the South Shore GRANTS Center.

·         Provide office management of physical filing and electronic file management.

·         Produce reports from the contracted grant writers and track billable hours

·         Produce monthly board reports on budget versus actual, number of grants received, and program summaries.

·         Support staff functions and take a team approach to all activities within the organization.

·         Report to work daily, answer phones, communicate information to the appropriate individuals

·         Assist with board minutes, marketing materials, and other forms of communication

·         Review grants and e-newsletter for spelling and sentence structure, clarity and accuracy

·         Be the first contact in the financials with the Executive Director being the second for all deposits and financial transactions

·         Be the central hub of communications for SSGC

·         Other duties as assigned.

 

Qualifications:

·         Must be proficient at Excel and Word programs

·         Must be willing to learn on the job and to access learning opportunities as they may be presented.

·         Must have some statistical and analytical abilities

·         Be familiar with using the internet to research and find grant opportunities

·         Must have a good attitude and a willingness to learn

·         Must be timely, persistent, and have the desire to excel

·         Possess good communication skills and keep the Executive Director informed on the identification of issues and opportunities

·         College degree or equivalent preferred or experience equal to 2 or more years
